Privacy Policy

Introduction

CourseLap is an all-in-one platform for high school athletic departments operated by Fumi Enterprises LLC, based in Houston, Texas. This Privacy Policy explains how we collect, use, store, and protect your information when you use CourseLap at courselap.com.

Information We Collect

  • Account information: name, email address, profile photo, role (athletic director, coach, support staff, student-athlete, parent)
  • Parent accounts: name, email, and the child they are linked to once staff approve
  • Academic data: course names, assignments, due dates, exam dates, class schedules, course documents you upload
  • Class grades, if your school connects its student information system
  • Athletic data: team rosters, sport schedules, practice and game events, conflict information
  • Roster details: team, level, position, jersey number, year
  • Staff notes on athlete profiles
  • Messages and group chats
  • Announcements
  • Compliance forms and documents, with e-signatures and uploaded files
  • Personal Assistant conversations
  • Google Calendar data: calendar events synced when you connect your Google Calendar account
  • Google Classroom data: courses, assignments, due dates, and exam information synced when you connect your Google Classroom account
  • Usage data: how you interact with the platform, browser type, device type, IP address
  • Demo and contact requests: the name, email, phone, school and message you send us, used only to reply to you.

How We Use Your Information

  • To provide academic and athletic scheduling features
  • To detect and display scheduling conflicts between academic and athletic events
  • To sync data from Google Calendar and Google Classroom when you choose to connect those services
  • To send notifications about conflicts, announcements, and schedule updates
  • To send forms for signature and send reminders
  • To deliver messages and announcements
  • To answer questions in the Personal Assistant
  • To improve the platform and fix bugs
  • We do not sell your information to any third party
  • We do not use your information for advertising purposes
  • We do not share your Google Calendar or Google Classroom data with any third party for any purpose other than providing CourseLap's scheduling features

Personal Assistant

When someone asks the Assistant a question, CourseLap sends the question and the CourseLap information that person's role is allowed to see to an AI model to write the answer. The Assistant only reads information; it never changes anything in CourseLap. CourseLap does not use your information to train AI models or for advertising.

Google API Services

CourseLap's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

  • Google Calendar data is used only to display and sync your calendar events within CourseLap
  • Google Classroom data is used only to sync your courses, assignments, and due dates into your CourseLap schedule
  • Your Google data is never sold, never used for advertising, and never shared with third parties
  • You can disconnect Google Calendar or Google Classroom at any time from your Integrations page, which will stop all future syncing

FERPA Compliance

CourseLap operates as a school official under the Family Educational Rights and Privacy Act (FERPA) school official exception when providing services to educational institutions. We:

  • Use student education records only for the purpose of providing academic and athletic scheduling services
  • Do not disclose student data to third parties without authorization from the educational institution
  • Operate under the direct control of the educational institution regarding the use of education records
  • Do not use student data for any commercial purpose

COPPA

CourseLap is not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us with personal information, please contact us at privacy@courselap.com and we will delete it immediately.

Data Storage and Security

  • Your data is stored securely using Supabase, a SOC 2 compliant database provider
  • We use industry-standard encryption for data in transit and at rest
  • Access to your data is restricted by role-based access controls
  • We cannot guarantee absolute security but take all reasonable measures to protect your information

Data Retention

  • We retain your data for as long as your account is active
  • You may request deletion of your account and all associated data by contacting privacy@courselap.com
  • Upon deletion request we will remove your personal data within 30 days
  • We keep demo and contact requests for up to two years, and delete them sooner if you ask.
  • Messages you sent in team or group chats may stay visible to that chat's members as part of the school's records.

Your Rights

You have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Withdraw consent for Google Calendar or Google Classroom access at any time
  • Contact us with any privacy questions at privacy@courselap.com

Third Party Services

CourseLap uses the following third party services:

  • Lovable: hosting, and the AI gateway for the Personal Assistant
  • Supabase: database and authentication
  • Google Gemini: AI model for the Personal Assistant
  • Lovable Email: sends account and notification emails
  • Calendly: demo booking
  • Google Calendar API and Google Classroom API: optional, when you connect them

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by email or by displaying a notice in the app. Continued use of CourseLap after changes constitutes acceptance of the updated policy.
